Introduction

These Terms and Conditions (“Terms”) govern your access to and use of the recruitment platform hosted at https://leela.rabbitt.ai/careers (“Platform”) operated by Rabbitt AI (“Service Provider”) on behalf of The Leela Palaces, Hotels and Resorts (“The Leela”, “we”, “us”, or “our”).

By creating an account on the Platform, you (“Candidate”, “you”, or “your”) agree to be bound by these Terms, the Privacy Policy, and the Candidate Declaration.

If you do not agree to these Terms, you must not register or use the Platform.

Eligibility

You must be at least 18 years of age to use this Platform.
By registering, you represent and warrant that all information you provide is accurate, current, and complete.
You are responsible for maintaining the confidentiality of your account credentials and for all activities that occur under your account.

Registration and Account Creation

To apply for positions at The Leela properties, you must create an account by providing your email address and creating a password.
Account verification will be completed through an automated One-Time Password (OTP) sent to your registered email address.
You must complete your profile by adding your personal details, educational qualifications, work experience, skills, and upload required documents (resume, passport-size photograph, and any other requested materials).
You acknowledge that certain fields are mandatory for registration and job application, as indicated on the Platform.

Use of the Platform

The Platform allows you to:

Create and maintain a candidate profile
Browse and search available job opportunities at The Leela properties
Apply for open positions
Track the status of your applications
Receive notifications and updates regarding your applications
Withdraw applications
Update your profile information
Request deletion of your account and data

You agree to use the Platform solely for the purpose of seeking employment with The Leela and in compliance with all applicable laws.

You shall not:

Provide false, inaccurate, or misleading information
Impersonate any person or entity
Use the Platform for any unlawful purpose
Attempt to gain unauthorized access to any portion of the Platform
Interfere with or disrupt the Platform’s operation
Upload any malicious code, viruses, or harmful content
Use automated means to access the Platform

Recruitment Process

Each application you submit is specific to the position applied for and does not automatically apply to other or future opportunities.

The recruitment process may include:

Resume review and AI-assisted screening
Assessment tests (psychometric or skills-based)
AI-powered video interviews
Human-reviewed interviews with assigned interviewers
Background verification and reference checks (if applicable)

You acknowledge and consent to the use of artificial intelligence (“AI”) technology in evaluating your application, including but not limited to:

Resume screening, analysing, and scoring
Analysis of interview responses and transcripts
Evaluation against role-specific criteria
Generation of candidate assessment reports

You understand that AI-generated scores and recommendations do not constitute final hiring decisions. All selection and rejection decisions are made by authorized human personnel of The Leela after reviewing AI-generated insights along with other relevant factors.

The Leela reserves the right to reject any application at any stage of the recruitment process at its sole discretion.

You will receive updates on your application status through the Platform and/or via email notifications.

Intellectual Property

All content on the Platform, including but not limited to text, graphics, logos, software, and design, is the property of The Leela, Rabbitt AI, or their licensors and is protected by intellectual property laws.

You retain ownership of the content you upload (resume and photographs) but grant The Leela and Rabbitt AI a limited, non-exclusive, royalty-free license to use, process, and store such content solely for recruitment purposes as described in the Privacy Policy.

You represent and warrant that you have the right to upload all content submitted to the Platform and that such content does not infringe any third-party rights.

Data Protection and Privacy

Your personal data will be processed in accordance with the Digital Personal Data Protection Act, 2023 and the Privacy Policy published on the Platform.

By using the Platform, you consent to the collection, processing, storage, and use of your personal data as described in the Privacy Policy and Candidate Declaration.

You have the right to:

Access and update your personal data through your profile
Request deletion of your account and data
Withdraw consent for data processing (subject to applicable legal and contractual obligations)

All data processing activities are conducted in compliance with applicable data protection laws and regulations.

Data Retention and Deletion

Your data will be retained for the duration necessary to fulfill the recruitment purposes for which it was collected.
Applications that are rejected will be automatically and permanently deleted 24 months after the date of rejection, including associated resumes, photographs, and submitted documents.
You may request deletion of your account and all associated data at any time by using the ‘Delete Account’ function available in your account menu.
Upon deletion, your data will be permanently removed from The Leela’s systems and cannot be recovered.
Certain data may be retained for longer periods if required by law, regulatory requirements, or for legitimate business purposes such as legal compliance, dispute resolution, or audit trails.

Third-Party Service Providers

The Platform utilizes third-party service providers (“Subprocessors”) to deliver recruitment services, including:

Mongodb Atlas – Database hosting (Mumbai, India)
Eclipse Net Solutions (AWS S3) – Document storage (Mumbai, India)
OPENAI – AI-based resume processing, OCR, parsing, and scoring

All Subprocessors are contractually bound to maintain confidentiality and security of your data and to process it only for the purposes specified by The Leela.

Your data is hosted and processed exclusively within India. No cross-border data transfer occurs.

Security

The Leela and Rabbitt AI implement industry-standard technical and organizational security measures to protect your data, including:

Password hashing using bcrypt with 10-round salting
AES-256 encryption for data at rest
TLS 1.2+ encryption for data in transit
Role-based access control (RBAC) with least-privilege principles
JWT token-based authentication with 24-hour expiry
Input validation and file upload restrictions
Regular security audits and monitoring

While we take reasonable precautions to protect your data, no system is completely secure. You acknowledge and accept the inherent risks of transmitting information over the internet.

You are responsible for maintaining the confidentiality of your login credentials. Notify us immediately of any unauthorized access to your account.

Disclaimers and Limitation of Liability

The Platform is provided on an ‘as is’ and ‘as available’ basis without warranties of any kind, whether express or implied.

The Leela does not guarantee:

That the Platform will be error-free or uninterrupted
That defects will be corrected
That the Platform is free from viruses or other harmful components
That you will be selected for any position

Submission of an application does not guarantee an interview or employment offer.

To the maximum extent permitted by law, The Leela and Rabbitt AI shall not be liable for any indirect, incidental, consequential, or punitive damages arising from your use of the Platform.

Modification and Termination

The Leela reserves the right to modify, suspend, or discontinue the Platform (or any part thereof) at any time without prior notice.
We may update these Terms from time to time. Your continued use of the Platform after such changes constitutes acceptance of the modified Terms.
We reserve the right to terminate or suspend your account and access to the Platform immediately, without prior notice, if you breach these Terms or engage in fraudulent or unlawful conduct.
You may terminate your account at any time by using the account deletion function or by contacting us at the support email provided on the Platform.

Grievance Redressal

For any grievances, complaints, or queries regarding the Platform or your data, you may contact privacy@theleela.com and/or at the contact details provided in the Privacy Policy.

We will acknowledge your complaint within 72 hours and endeavor to resolve it within 30 days.

If you are not satisfied with our response, you have the right to lodge a complaint with the Data Protection Board of India in accordance with the Digital Personal Data Protection Act, 2023.

Governing Law and Jurisdiction

These Terms shall be governed by and construed in accordance with the laws of India.

Any disputes arising out of or in connection with these Terms or your use of the Platform shall be subject to the exclusive jurisdiction of the courts in Mumbai, India.

General Provisions

Entire Agreement: These Terms, together with the Privacy Policy and Candidate Declaration, constitute the entire agreement between you and The Leela regarding your use of the Platform.
Severability: If any provision of these Terms is found to be invalid or unenforceable, the remaining provisions shall remain in full force and effect.
Waiver: No waiver of any provision of these Terms shall be deemed a further or continuing waiver of such provision or any other provision.
Assignment: You shall not assign or transfer these Terms or your account without our prior written consent. The Leela may assign these Terms without restriction.
Force Majeure: The Leela shall not be liable for any failure to perform its obligations under these Terms due to circumstances beyond its reasonable control.
